Product Features

¡@ There are three basic steps to using Address Book
¡@ > Entering data
¡@ > Choosing a print format
¡@ > Printing your address book
¡@ ¡@
¡@ To print your records in a particular order (for example, alphabetically by company or
¡@ last name) you can Sort the address book (see Sorting the Address Book)
¡@ > To print only certain records (for example, only records in a particular ZIP Code) you can Filter
¡@ ¡@ Records (see Filtering Records).
¡@ > Once you have entered data into your address book and chosen a printout design, you are
¡@ ¡@ ready to print.
¡@ > To print your records in the order they appear on-screen, open the File menu and choose Print.
¡@ ¡@ For more printing information, see Printing.
¡@ ¡@
¡@ Viewing Statistics
¡@ > Address Book can compute statistics on all number, currency, date, ZIP Code, and check box
¡@ ¡@ fields. Open the View menu and choose Statistics to open the Statistics dialog. Only displayed
¡@ ¡@ records are included in the statistics. The total number of records and the number of currently
¡@ ¡@ displayed records are listed at the top of the dialog.

¡@ Managing Address Book Files - Overview
¡@ > Address Book file management includes the basic save function, but also has features such as
¡@ ¡@ purge, which helps you remove duplicate records from your file, and export, which allows you to
¡@ ¡@ use your address book data in other programs.
¡@ > You can also set preferences for the file, such as the display format for dates, or view statistics,
¡@ ¡@ which show you the current state of your address book.
¡@ ¡@ ¡@
¡@ Purging Duplicate Records
¡@ If you have duplicate records in a file, Purge will find and remove them from your address book.
¡@ This can be an especially useful feature if you have merged address books.
¡@ > Open the Records menu and choose Purge Duplicates to open the Purge Duplicate Records
¡@ ¡@ dialog.
¡@ > Enter the criteria you want Address Book to use when comparing records.
¡@ > Address Book can look at up to three fields when comparing the records in your address book.
¡@ ¡@ Use the boxes on the left to choose how many letters to compare, and use the boxes on the
¡@ ¡@ right to tell Address Book which fields to use in the comparison. The search is more precise
¡@ ¡@ the more letters you use, but it will take longer.
¡@ > If you want to confirm suspected duplicates before they are removed, mark the "Interactive"
¡@ ¡@ check box. Records that are not duplicates may still meet the purge criteria (for example, two
¡@ ¡@ brothers living at the same house might meet the purge criteria).
¡@ > Choose whether you want to erase the duplicates or put them in their own file.
¡@ > To create a file for the duplicates, choose Move Duplicate Records and then click the
¡@ ¡@ Filename button.
